Overview
The View Order Screen (also referred to as Managed Shipping) is a central hub for reviewing, filtering, and managing orders throughout their life cycle. This screen is heavily used across departments, from customer service to accounting to warehouse operations.
Key Functional Areas
- Order Filters: Easily narrow down visible orders using filters such as:
- Status (e.g. Unconfirmed, To Be Shipped, Shipped)
- Date Range (Order Date, Ship Date)
- Customer, Account, Sales Channel, and more
- Quick Action Icons:
- Dollar Sign Icon: Displays AR/payment status:
- Green: Paid
- Blue: Partially Paid
- Red: Unpaid
- Target Icon: Indicates if invoice is overdue:
- Red: Past due
- Green: Current
- Dollar Sign Icon: Displays AR/payment status:
- Invoice Sent Status: Shows the date an invoice was emailed or logged. Useful for AR follow-up.
- Order Previews:
- Line Item Preview Button: Toggle display of items per order.
- Quantity Preview Button: Toggle display of quantities per item.
- Bulk Selection Checkbox: Use the checkbox in the upper left corner to select all visible orders. Helpful for bulk actions such as status changes or batch updates.
- Links to Related Records: Access related customer or account profiles directly via embedded links.
Best Practices and Use Cases
Accounts Receivable Teams: Use the dollar sign and target indicators to determine whether an order should be held due to non-payment. For example:
Austin reviews all orders past due and unpaid to delay fulfillment until payment is received.
- Order Search Optimization: Instead of scrolling manually, use filters (e.g., “Not Paid”) to instantly isolate actionable orders.
- Customer Support Teams: Use the preview buttons to verify order content without needing to open the full order detail screen.
Performance Tip
The AR indicators (target icon) are rendered via an optional checkbox to reduce load time for users who don’t need to see this data. This is especially helpful for large order volumes. Enable it when AR status is required.
Additional Features
- Label Counts: See how many labels have been printed for each order.
- Email/Print Indicators: Visual cues show whether the order has been emailed or printed.
- Pre-Authorization Amount: Displayed for orders with a payment pre-authorized (e.g., via Authorize.Net CIM).
