Below are the different functions within Orderbot that allow you to keep your inventory up to date within Orderbot. You can also use purchase orders to receive inventory into Orderbot. See our training videos for more information. You can also update inventory by importing an Excel file.
Note: If you don't see any of these options under your menu, please check with your admin user. They may need to give you permissions to access this page.
Inventory Count
Go to Products > Inventory Count.
This option is generally used after you (or your warehouse) have done a manual inventory count and you would like to update your inventory in Orderbot.

Select your Product Class, Category, and Group. (You may leave 'group' unselected to search a wider range of products.)

Select any other filters, such as the warehouse, vendor, product name, or product SKU. These help you narrow down your search to find the exact products you're looking for.

Enter your inventory count for each product you would like to change in the column called 'Count QTY.'

Click Submit. This will replace your current inventory totals with the values that you have entered as of the end of the day (11:59pm).
IMPORTANT: If you would prefer for your Inventory Count to take effect at the start of your day, you'll want to use the menu option Products > Update Inventory As of Date to enter your count the day before.
After you do a manual inventory count, you might want to know the history of your inventory within Orderbot. Your best resource would be under Reports > Inventory Transaction Report. This report will allow you to see any orders shipped or purchase orders received for this SKU.
Update Inventory As of Date
Please see the section on Inventory Count above for a basic understanding of this page.
It functions exactly the same as Inventory Count, except that you can select a date for when the count will take effect. This allows you to apply an inventory count in the past. This is useful, for instance, if you did an inventory a couple of days ago but haven't had a chance to update Orderbot yet.
Inventory Adjustment
Go to Products > Inventory Adjustment.
This is the option you would use to make day-to-day inventory adjustments. Let's say that a box of your product is ruined during shipment. Using inventory adjustment, you can update your inventory to correct any mistakes or reflect any changes you may have made.

Select your Product Class, Category, and Group. (You may leave 'group' unselected to search a wider range of products.)

Select any other filters, such as the warehouse, vendor, product name, or product SKU. These help you narrow down your search to find the exact products you're looking for.

ADJ QTY (Adjustment Quantity) enter the amount you would like to adjust your inventory by. To reduce inventory, enter a negative number. To increase it, enter a positive one.

Enter a note explaining the reason for the adjustment.

Select an 'adjustment reason' from the dropdown.

Submit Inventory Adjustments.
Note: If you are adjusting inventory due to production, you can deplete the components at the same time as increasing the assembly product by selecting Apply Depletion to Assembly BOM.
Inventory Transfer
Go to Products > Inventory Transfer.
This is the option that you would use to transfer inventory from one warehouse to another.

Select your Product Class, Category, and Group. (You may leave 'group' unselected to search a wider range of products.)

Select any other optional filters, such as vendor, product name, or product SKU. These help you narrow down your search to find the exact products you're looking for.

Select the warehouse you would like to move inventory from.

Search. All of the inventory numbers that are pulled up will be from the warehouse you picked.

Select the warehouse you would like to move inventory to.

In the column called ADJ QTY (adjustment quantity), enter the number of units of inventory that you would like to move.

Click Submit.
