Basics
- Go to Customers > Manage Customers.
- Use filters (state, sales rep, etc.) to narrow down your search.
- Click Search.
Search Filters
Filters help you narrow down your search, so that you can locate a specific customer among the hundreds or thousands you have entered in the system. If your search will pull up more than 400 customers at once, you will see a message letting you know that you should refine your search to avoid pulling up too many customers at once.
Sales Channel - If multiple sales channels are selected, all will be included in your search, as shown above. Click on the X next to the sales channel to exclude a sales channel.
Customer/Account - By default, your search will find customers. Shipping information is stored in the customer profile. If you select 'account' instead, you'll pull up the profile where billing information is stored.
Available Search Fields:
-
First Name / Last Name - The name of your customer or the name of your contact for a company account. Please use the exact spelling from their profile.
-
Company/Organization - This field searches the Store Name on the customer profile and the Account Name on the account profile, depending on what you've selected for the Customer/Account filter.
-
Country/State/City - Select from the dropdown menu to include only search results from a particular country or state. Enter a particular city name to see all customers within that city.
-
Customer Number / Account Number - Use this field to search the unique ID associated with your customer or account. You can find this ID in the 'Client/Account Number' column after you've searched using other filters. In our example screenshot in the Basics section above, 'Example Customer' has an ID of 1898.
-
Reference ID - This allows you to search by the 'Other ID' field of your Customer/Account. Generally reference IDs are used for customers that were imported into Orderbot from a different system.
-
ZIP/Postal Code - Allows you to search for any customers that share the same address.
-
Email address - Searches for the primary email address associated with the customer or account. For customers, the email address must be unique (an email address can only be used for one customer profile at a time), since it may be used as a username.
-
Phone Number - Allows you to filter by phone number–this is often a useful filter if you're trying to avoid creating duplicate customers.
-
Order ID - Use this field to find the customer associated with a particular order. Use the 'order ID,' or the number of the order within Orderbot, not any order ID from another system.
-
Sales Rep - Select a sales rep from the dropdown menu to find customers who are assigned to that rep. If you are a sales-rep level user, you can only search for orders that are assigned to you.
