This article will outline all the details on how to add products. If you haven't completed the aspects of set up yet, please refer to the Product Setup Guide.
Adding a New Product
There are many ways that you can set up products within Orderbot, depending on your operational needs. Before you start creating products, ensure you understand how the products are structured here. This section will cover how to set up a sales product, the basic product profile used to manage your products within Orderbot.
- Go to Products > Product Management > Manage Products.

Select the Product Class, then Category, and/or Group from the drop-down menu. Click Submit.
If you don't see classes or categories to select, or if you would like to create a new category or group, please see our guide on product structure.
- You'll see a list of product groups. Clicking the "+" will expand and display the products.
- Click Add Product beside the group you wish to create a new product for.
- You'll be redirected to the Product Profile page.

Fill out all required fields (highlighted in red), as well as any optional fields you wish to use. Below is a table of the different fields and their descriptions.
Field Description Name / Invoice Name This name will appear on the orderpad, as well as on your invoices. Custom SKU The unique identifier used by your business to identify this product. UPC The Universal Product Code. These are usually 12 digits long. Shipping Weight The default weight of your product. This will be used to assign products to shipping boxes or to calculate shipping rates by weight. Pack/Tray If your product comes in a standardized pack or tray, this value shows how many individual items come in the pack. This value appears on some invoice formats. Ship Dimension The dimensions of your product, by Length, Width, and Height. This is used when dividing your products between shipping boxes. Unit of Measure The standard unit of measurement for this product. (e.g. Each, Box, Lbs, set, etc.) You can add your own custom units of measurement by going to Prefs > System Setup > Site Settings > Units of Measurement. Perishable / Shelf Life If your product is perishable, this is where you would enter its shelf life. Order In Multiples Of If your product is ordered in multiples of a number (groups 3,6,9,12,etc) you can enter that here. The default is 1. Max Commission Rate This sets a maximum commission percentage that your sales rep can receive when this product is sold. Base Price This is the default price of your product, generally used for MSRP. This is not the price your product will be sold for - that price is defined in Order Guides. Cost The price this product is purchased/manufactured for from your suppliers. Taxable Select 'no' if your product is tax-exempt. GST Only Select 'yes' if your product is taxable, but only Government Sales Tax applies. Parent Select 'yes' if you would like to make this product a parent, so you can create child products under it. To create child products, see here. Exclude Shipping Fee Tick this box to make this product exempt from shipping fees. Digital Tick this box if this product is a digital product. -
Click Submit or if you want to add another product, click Submit & Add New.
You must add Order Guide Pricing for your product before you will be able to add it to orders, or see it on your B2B Portal (if applicable).
Creating Parent-Child Products
Use the 'parent-child' feature when you have many related products, with differences between them such as colour, style, or size. These products are called 'parent' and 'child' due to the relationship between the products: the parent is the original default product (e.g. Unicorn), while the individual children inherit characteristics from the parent and are grouped underneath the parent (e.g. Rainbow Unicorn, Winged Unicorn, etc.)
Before you use this feature, ensure you have Product Variables set up.
If you selected "Yes" for the parent option when you created your product, and you're still on the product profile page, you can skip to step 6. Otherwise, follow the steps below to be able to create child products:
- Navigate to Products > Product Management > Manage Products.
- Search for the product you would like to make into a parent. (You can search by product category, by name, or by SKU.)
- Click the Edit icon.
- You'll be directed to the product profile. (See the section on creating products above for more information about the fields on a product profile.)
- Ensure that 'yes' is selected on the Parent option. (You can do this when you first create the product.)

Click the Child Items tab.
- Find the product variables you would like to use and click the + sign to expand them.
If you don't have a tick box to select a variable, you may have set up your product variables incorrectly. Please go to Prefs > Product Setup > Manage Product Variables and check that you have set up Variable Values
- Check the tick box next to one or two variable types. (You can select no more than two variables at a time.)
- Scroll down and click Next
- A new window will open
- If you have selected only one variable type, just click the checkbox next to each product you would like to create. (e.g. Blue, Red, Yellow)
- If you have selected two variable types, like in our screenshot above, click the checkbox next to each combination of variables you would like to use. (e.g. You could make Beige available for all sizes, but only have Black and Maroon in smaller sizes as well as Blue and White in Medium sizes.)
- When you've selected all the variables you would like to create, click Submit. A popup message will appear, letting you know that child products have been created.
- You can now view the child product list under the Child Items tab of your product profile to see all child products you have created.
- If you go to Products > Product Management > Manage Products and search for your original product by name or SKU, you'll see that all of your child products now come up on the search as well.
You can click the "Group Name" in the product profile to bring you to the Manage Products page with all the products in the group displayed.
- Click Edit to change their product profiles individually. Though child products inherit values from their parents (for example, SKU, price, etc), you can customize them individually.
